CANCELLATION POLICIES

We understand that unanticipated events happen occasionally in everyone’s life. In our desire to be effective and fair to all clients, the following policies are honored:

SICKNESS

If you need to reschedule because you are not feeling well, we understand and request for you to please contact us as soon as possible to avoid potential missed appointment charges. In order to provide a safe working environment for therapists and other clients, we ask that a full recovery be made before rescheduling.

OTHER CANCELLATION

24 hour advance notice is REQUIRED when cancelling an appointment. This allows the opportunity for someone else to schedule an appointment. If you are unable to give us 24 hours advance notice you will be charged the full amount of your appointment. This amount must be paid prior to your next scheduled appointment.

NO-SHOW

Anyone who either forgets or consciously chooses to forgo their appointment for whatever reason will be considered a “no-show.” They will be charged the

full amount for their missed appointment.

LATE ARRIVAL

If you arrive late, your session may be shortened in order to accommodate others whose appointments follow yours. Depending upon how late you arrive, your therapist will then determine if there is enough time remaining to start a treatment. Regardless of the length of the treatment actually given, you will be responsible for the treatment scheduled. Out of respect and consideration to your therapist and other customers, please plan accordingly and be on time.

GUESTS IN TREATMENT ROOM

Massage appointments are scheduled for the purpose of overall wellness and therapeutic care. In order for therapists to perform the requirements of their role, the following will be observed and enforced:

Clients may not bring any person or animal without prior authorization. Children may not remain in the lobby during therapy sessions. ***The therapist is not liable for child care.*** New parents could consider bringing their newborn, but remember it is challenging to relax when your newborn is near by.

Clients who bring unauthorized guests and or animals will be asked to reschedule, and must pay in full for the appointment time scheduled.

When treating children under the age of 17, Frisco Massage Therapy requires a guardian release signature and the physical presence of the guardian in the room for the duration of the minor child’s appointment.

Clients needing assistance should bring their own aides, and let the therapist know ahead of time if any special needs are necessary to make their appointment more accessible and accommodating.

INSURANCE AND DOCUMENTATION POLICY

1. Insurance Billing

Frisco Massage Therapy does not accept or bill insurance for massage therapy services. All sessions are paid directly by the client at the time of service. This includes—but is not limited to—private health insurance, Medicare/Medicaid, and third-party payers such as auto insurance companies or attorneys.

This policy aligns with the scope of practice defined by the Texas Department of Licensing and Regulation (TDLR), which does not require or regulate insurance billing for massage therapy services under Texas Occupations Code Chapter 455.  FMT accepts HSA cards and will provide a detailed receipt at the client’s request should the client wish to seek insurance reimbursement.

2. Patient Charting

FMT does not maintain clinical patient charts. As a wellness-focused massage establishment, we do not diagnose, treat, or medically assess conditions. Our therapists may document session preferences or contraindications for internal use, but these are not clinical records and are not maintained in a format suitable for medical or legal review.

TDLR rules under Title 16, Texas Administrative Code, Chapter 117 do not mandate clinical charting for massage establishments. Massage therapists are not classified as healthcare providers under Texas law.

3. Third-Party Requests (e.g., Traffic Accidents)

In the event of a traffic accident or other incident where a third party (e.g., insurance company, attorney, or law enforcement) requests patient records or charts:

  • FMT will not provide clinical documentation, as we do not generate or retain such records.

  • We may, upon written client consent from the client, confirm appointment dates and services rendered (e.g., “Client received a 60-minute massage on [date]”) for billing or verification purposes.

  • No diagnostic or treatment-related information will be provided.

This approach is consistent with TDLR’s scope for massage therapy, which does not require massage therapists to maintain or release medical records.

Wellness Protocols

In all circumstances, it is mandatory that you should not get a massage if you're not feeling well, and particularly if you have a fever. Please cancel your appointment if you meet the any of the following criteria:

Fever, any type of cough, shortness of breath or difficulty breathing, sore throat, chills, repeated shaking with chills, abnormal muscle pain, abnormal headache, loss of taste or smell, diarrhea, feeling feverish above 100.0 degrees, known close contact with a person who has an active virus.

We appreciate your adherence to these important policies. As always, the health and safety of our clients is at the forefront of our business.
